Roof Copilot — Privacy Policy

Overview

This Privacy Policy explains how Roof Copilot ("we", "us") collects, uses, shares, and protects information when you visit our websites, contact us, use our lead-generation and marketing services, or use the Roof Copilot software platform. This policy covers two kinds of people: (1) our customers — businesses that subscribe to Roof Copilot or purchase our services — and (2) end customers of those businesses (such as homeowners) whose information our customers store and process in Roof Copilot.

Information we collect

Account and business information: your name, business name, phone number, email address, billing address, and payment details (handled by our payment processor — we do not store full card numbers) when you sign up for our services.

Customer content: information our subscribers enter into Roof Copilot in the course of running their business — their customers' names and contact details, property addresses, roof measurements, photos, proposals, appointments, messages, and invoices. Our subscribers own this content; we process it on their behalf to provide the service.

Communications: messages you send us by form, email, phone, or text, and — for subscribers using our messaging features — the SMS, call, and email traffic sent and received through the platform, which we process and retain to deliver those features and meet carrier compliance requirements.

Information collected automatically: device and usage data such as IP address, browser type, pages viewed, actions taken in the product, and referring pages, collected through cookies and similar technologies.

How we use your information

We use information to provide and operate our services; create and manage accounts; process payments and billing (including usage-based charges); deliver sales leads and related notifications; provide SMS, voice, and AI features; respond to support requests; secure, debug, and improve our websites and products; and send service-related communications by phone, email, and SMS.

We do not use our subscribers' customer content to advertise to their customers, and we do not sell it.

SMS / text messaging

If you opt in to text messages from us, we use your designated mobile number to send lead alerts and account notifications as described in our SMS Terms & Conditions. You can opt out any time by replying STOP.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties.

Businesses using Roof Copilot to send their own text messages are independently responsible for obtaining their recipients' consent; opt-outs are enforced automatically by the platform.

Cookies & analytics

Our websites use cookies for sign-in sessions and may use analytics tools to understand usage and improve performance. You can control cookies through your browser settings; disabling them may affect site functionality (including the ability to stay signed in).

How we share information

We do not sell your personal information. We share information only with service providers who help us operate — hosting and database providers, payment processing (Stripe), email delivery, SMS and voice carriers (for message delivery and carrier registration), mapping and measurement APIs, and AI model providers used to power product features — and only as needed to provide the service.

We may also disclose information when required by law or legal process, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets (in which case this policy continues to apply to the transferred information).

Google user data (Gmail & Calendar connections)

If you connect a Google account to Roof Copilot, we request only the narrow permissions the feature needs: permission to SEND email on your behalf (we never request permission to read, search, or delete your mail), and — if you connect your calendar — permission to read your availability and create or update the appointment events you book through the product.

We use that access solely to deliver the feature you asked for: sending your own customer emails from your address, and keeping your appointments in sync. We do not use Google user data for advertising, we do not sell it, we do not transfer it to third parties except as necessary to provide the feature or as required by law, and we do not allow humans to read it except with your explicit consent, for security purposes, to comply with applicable law, or where the data is aggregated and anonymized.

Roof Copilot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We do not use Google user data — raw, aggregated, or derived — to create, train, or improve any machine-learning or artificial-intelligence models, and we do not transfer it to third-party AI services that would do so. The only Google-derived data processed by an AI feature is calendar availability (free/busy windows) used to offer appointment times, and that processing runs through a commercial AI API whose terms prohibit training on the data.

Access tokens are encrypted at rest and scoped to the business that granted them. You can disconnect at any time in Settings, which deletes the stored tokens and revokes our access at Google; you can also revoke access directly from your Google Account's security settings.

Data security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encryption in transit, role-based access controls, and tenant isolation enforced at the database layer. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Data retention

We retain account information for as long as your account is active and as needed afterward to comply with legal obligations, resolve disputes, and enforce agreements. If your subscription ends, your customer content is preserved so you can reactivate; you may request deletion at any time using the contact details below.

SMS consent and opt-out records are retained as required by carrier regulations.

Your privacy rights

Depending on where you live, you may have the right to access, correct, or delete your personal information, or opt out of certain communications. To exercise these rights, contact us using the details below. Residents of California and certain other states may have additional rights under applicable law.

If your information is stored in Roof Copilot by a business you hired (for example, a roofing contractor), that business controls it — direct your request to them and we will assist them in fulfilling it.

Children's privacy

Our services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.

Third-party links

Our websites may link to third-party sites we do not control. This policy does not apply to those sites; please review their privacy policies.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated effective date, and — for material changes affecting subscribers — announced by email or in the product.
